The Secretary works und! er the supervision of the Director. The Secretary is responsible for providing secretarial and related assistance to their Nursing Director and other Nursing Directors. Assists in the management of the Director’s time by performing functions such as maintaining appointment calendars, screening visitors, composing routine correspondence, and handling varied communication functions within the Medical Center. The Secretary also coordinates activities and performs related duties for other members of the Department.

Essential Duties:
Provides secretarial and related assistance for their Director.

Prepares memorandums, internal and external letters, proposals, reports, contracts and other related items, as directed.

Arranges appointments and maintains calendar of events for the Director.

Assists Director in the preparation of meeting material and reports.

Prepares and distributes minutes as directed.

Assists with ! typing policies and procedures to comply with regulatory agenc! ies.

Prepares, types and distributes departmental communication.

Receives incoming telephone calls. Handles routine inquiries or refers callers to appropriate person/department.

Receives and reviews all incoming mail and correspondence for Director and distributes to appropriate person/department.

Prepares necessary purchase orders, supply orders and maintenance repair requisitions for the smooth operation of the unit.

Maintains an efficient record and filing system, including information of confidential nature.

Knows and applies security/safety policies, procedures and practice of the Medical Center.

Maintains Excel spreadsheets for data entry of department activities, (i.e., code reviews).

Assists with data collection and scheduling.

Assists with daily and monthly financial data and variance reports.

Maintain current licenses and information for all department staff.

Shares ! his/her expertise and knowledge with other associates of the department (i.e. computer).

Notify departments of upcoming events or information as is made available.

Contributes to a cohesive department through teamwork, cooperation and positive behavior.

Maintain physician rolodex.

Types written communications for the department.

Types minutes/agendas for councils and committees.

Types Job Descriptions, evaluations, and policies/procedures.

Types letters, documents, and other correspondence as needed.

Receives, greets and directs patients, family members, clients, visitors and physicians in a positive and conscientious manner adhering to our Embrace the Spirit standards and behaviors. Problem-solve, offer and give assistance as needed.

Acknowledging internal and external customers with eye contact and a smile.

Qualifications

Education:
High School graduate or equivalent. Graduation from accredited business college or equivalent work experience.

Experience:
Three years previous experience as an executive level secretary; prior experience at general secretarial positions.

Ability to display courtesy, tact and diplomacy in dealing w! ith patients, visitors and staff either by personal contact or telephone communication, often times under difficult or stressful situations.

Knowledgeable on computer with proficient word processing skills. Minimum typing speed requirement of 65 words per minute.

Knowledgeable on computer with proficient Microsoft Excel skills necessary for data entry.

Ability to operate office equipment, to include telephones, fax machines, computer terminals, copiers, etc. requiring manual dexterity and eye-hand coordination, ability to organize and prioritize work to be done in order to meet deadlines; ability to exercise some judgment on work to be done.

Ability to compose letters and memoranda in clear, concise manner.

Ability to respond quickly and efficiently to stat workload demands.

Dependable attendance.

Ability to organize and prioritize work.

Ability to maintain function/flow in spite of frequent interruptio! ns.

Willingness and ability to assume responsibility and work ! with little direct supervision.
