The Medical Receptionist serves to welcome and acknowledge patients as they come in to the physicians' office. A strong ! commitment to patient advocacy, the ability to interpret patients' responses and needs, and a thorough understanding of Embrace the Spirit's twelve standards of behavior are essential. Focusing on developing patient satisfaction and loyalty and maintaining patient flow throughout the clinic are critical functions of this position. This position reports directly to the Practice Manager.
As applicable per practice, the role of the Medical Receptionist may include medical record responsibilities.
Essential Functions:
1. Welcomes all patients upon their arrival at the practice.
2. Adapts communication style to each patient's ability to understand.
3. Confirms all aspects of insurance coverage and collects co-payments from patients.
4. Requests payment from patients on past due balances identified as patient responsibility.
5. Registers or updates patient demographic and insurance coverage information into computer! system taking care to ensure that family member accounts are ! connected.
6. Documents pertinent follow-up information in the demographic screen on the computer.
7. Communicates necessary patient billing adjustments to patient account staff.
8. Obtains pertinent information on workers' compensation and motor vehicle injuries and provide information to patient accounts staff.
9. Creates and prints fee slips in preparation for scheduled appointments and as patients arrive for open access appointments.
10. Schedules appointments as requested by patients and providers.
11. Evaluates and processes all new patient information.
12. Prints daily schedules for physicians, nurses, front desk, lab, x-ray and other areas as needed.
13. Monitors and processes patient recall postcards or telephone calls in a timely manner.
14. Keep up with rules and regulations of Medicare, Medicaid, managed care plans, and other third party payers.
15. Recognizes and responds ! to verbal and non-verbal communication.
16. Maintains comfort and cleanliness of lobby area.
17. Assists in training new associates and on-call staff.
18. Maintains patient confidentiality.
19. Maintains professional demeanor at all times.
20. Attends and participate in staff meetings.
21. Attends educational seminars as requested.
22.Read and comply with all policies and procedures and personnel policies as stated.
23.Understands and demonstrates compliance with HIPAA regulations.
24.Understands and demonstrates the twelve (12) behavior standards for "Embrace the Spirit".
25.Customer Service
a. Receives, greets and directs patients, family members, clients, visitors and physicians in a positive and conscientious manner adhering to our Embrace the Spirit standards and behaviors. Problem-solve, offer and give assistance as needed.
b. Acknowledging internal and external! customers with eye contact and a smile.
c. Phones are answere! d promptly with a friendly voice using a proper greeting.
d. Ability to prioritize, organize and effectively handle multiple tasks and interruptions in a positive manner.
Medical Record Responsibilities (as applicable per practice):
1. Pulls charts on a daily basis for response to faxes, pharmacy refills, patient calls, and appointments.
2. Maintains outguide system for medical records.
3. Searches and locates missing or misfiled charts and information.
4. Uses computer to determine whether the patient is active, inactive, deceased, emergency room patient, or hospital only, then file paperwork in the respective chart.
5. Possesses ability to recognize confidential information and those items needing additional information.
6. Files and secures all loose filing, correspondence, and transcription in the correct order in the medical record.
7. Files charts in respective order in the medical reco! rds file room.
8. Prioritizes completion of daily tasks.
9. Understands process and respective consent laws for release of medical information.
10. Maintains inventory of patient chart materials.
11. Coordinates medical record microfilming with contracted vendor.
12. Receives and handles calls from individuals or companies requesting copies of medical records.
Qualifications
Education:
High school diploma or equivalent (GED) is required.
Experience:
At least six months on-hands experience in a medical setting or completion of a medical program is preferred.
Basic computer and keyboarding skills required.
License/Certification:
None.
