Directs ! and coordinates overall efforts of the OP clinic site activities through RN Clinic Team Leaders and staff and designated medical staff. Acts as a liaison between St Mary’s and outreach clinic to administration and physicians ensuring consistency in the operations of the clinic.

Essential Duties:
Directs and coordinates overall efforts of the high volume outreach clinic site activities in collaboration with the Clinic Team Leaders and staff including monitoring and assisting with training and development needs; interviewing and hiring prospective employees; evaluating and leading new and existing employees;

and administering consistent and fair progressive discipline.

Acts as a liaison between St Mary’s and Outpatient clinics to administration and physicians ensuring consistency in the operations of the clinics.

Provides day-to day oversight of assigned practice and related central administrative functions. Assists in admini! stration of company policies and procedures among both clinics! . Ensures office space, equipment, and assistance are provided and maintained appropriately for the clinic.

Provides leadership and management for designated non-provider practice staff.

Oversees all regulatory, quality assurance, and risk management functions within the assigned practices.

Works closely with the administration and IT in planning for continued growth and development of the information system.

Provides coordination for billing, coding, collection, and accounts receivable processes as they relate to the assigned practices.

Provides oversight, ensuring compliance with all rules regarding managed care and other health insurance agreements for the benefit of the patient’s insurance coverage, including obtaining referral forms when necessary.

Responsible for the budget process and coordinates appropriate annual evaluations.

Understands the electronic health record (AEHR) and ensures that clinical wo! rkflows support effective utilization of the AEHR tool to support improved quality and patient satisfaction.

Works closely with the finance staff in budget and strategic planning process for the outpatient clinics. Coordinates and creates proposals for assigned projects.

In conjunction with the RN Team Leaders, is accountable for nursing and ancillary health professional operations.

Work closely with the Reimbursement Coordinator to implement / enforce payer contracts.

Lead and communicate relevant updates to the clinics at monthly staff meetings.

Resolves work problems to ensure the highest quality patient service.

Represents the department in various meetings and committees as needed.

Works with and reports problems to administration to solve inter and intra-department issues, keep open lines of communication and increases departmental efficiency.

Provides general support to the offices as needed.

Edits and approves time records in the Kronos system for all direct reports.

Plans and coo! rdinates with the CFO the budgeting requirements for personnel, supplies and equipment for the department.

Plans and recommends new equipment or modifications in space requirements needed to accommodate the needs of the department.

Assumes responsibility for ensuring Community Benefits reports and budgets are completed in a timely manner.

Completes performance evaluations for direct reports according to policy.

Completes transactions online through HR Payroll Connection, such as employee status changes, position maintenance, notification of return to work after leave of absence, notification of employees’ first day attendance, and recruitment requisitions.

Directs and participates in the human resource management function for the department by coordinating the promotion, orientation and performance appraisal processes.

Participates in the new hire selection process.

Attends and participates in department head ! meetings and other meetings as appropriate.

Provides clear, co! ncise and current written policies and procedures to assist the staff and minimize risk factors.

Patient care policies and procedures are reviewed annually and revised as necessary to reflect changes.

All other policies are reviewed every three years.

Responsible for

quality improvement activities and reports the results of performance improvement activities to the facility wide performance improvement committee.

Sees that corrective actions are taken when negative outcomes are identified.

Approves payment of invoices online for department.

Qualifications

Education/Experience:
Minimum of Bachelor's degree is required.

Three (3) years clinic practice management experience is also preferred.

Rural Health Clinic knowledge is preferred.

Skills/Knowledge:
Knowledge of organizational and clinical practices and procedures.

Knowledge of office management! techniques.

Knowledge of fiscal management and human resource management techniques.

Knowledge of Microsoft Office Suite Software

Ability to speak, read, understand and follow oral and written instruction in English.

Ability to communicate with patients, families, physicians, team members and outside contacts in a manner which promotes dignity and respect.

Ability to perform computer tasks at a user level.

Ability to organize, prioritize, delegate, and manage multiple projects.

Ability to apply policies and principals to solve everyday problems and deal with a variety of situations.

Ability to read, interpret and apply clinic policies and procedures.

Ability to be an influential and effective member of the management.

Ability to maintain the strictest of confidentiality.

Ability to handle stressful situations with poise and confidence.

Skill in gathering and interpre! ting data and arriving at conclusions.

Skill in researching, preparing and presenting comprehensive reports.
